The challenge
Three important University processes ran on BonitaSoft, a workflow platform that was no longer supported. The workflows were fragmented, hard to change and gave staff little visibility of where a request was up to.
What Flex built
Flex Consulting worked with the University to rebuild the three processes as secure, role-based applications, with UiPath Maestro orchestrating the people, approvals, APIs, AWS services, UiPath automations and University systems behind them. It was the first Maestro implementation to go live in New Zealand.
- Electronic Clinical Supervisor Reporting (ECSR): digitises clinical-placement assessment and review, giving supervisors and University teams a consistent workflow, clear status and a reliable audit trail.
- Contract for Service (CFS): coordinates the request, approval, finance and procurement steps for contracting across an organisation of about 6,500 staff.
- Aegrotat (student special consideration): a streamlined application and decision process that can support a student population of about 50,000.
The result
The University decommissioned BonitaSoft and removed its licence cost. Maestro now gives end-to-end orchestration across the three processes, with better visibility, resilience and governance, and the processes can be changed far more quickly than before.
